Task List review workflow

The four statuses

Open → In progress → Ready for review → Closed. Ready for review is where the person doing the work is finished with their part — it is not the same as Closed. Someone else still needs to check the work and close it out.

After you submit a Punch list or Safety observation

The submission automatically waits until every item on it is closed (Wait for Tasks) — nothing to click; it moves forward when the last item is closed. Once that happens:

  1. The person who created the submission is emailed automatically.
  2. The submission moves to a review step where they check the work.
  3. They either accept it (closing the submission) or find a problem.

If a problem is found

The reviewer reopens the specific item(s) that still need attention, with a note explaining what is wrong. That sends the submission back to waiting on those items — and once they are closed again, it moves forward on its own, back to review. This can repeat as many times as it takes.

Why Revision Required is sometimes greyed out

It only becomes available once at least one item has actually been reopened — this prevents rejecting a submission when nothing has been sent back for anyone to work on.
